As our business continues to expand, we are seeking a dependable, highly organized, and motivated Administrative Assistant to support daily business operations, improve administrative efficiency, and help maintain strong customer relationships.

Position Overview

The Administrative Assistant will work directly with the owner to coordinate appointments, manage customer communications, maintain business records, and support day-to-day operations.

The ideal candidate is detail-oriented, professional, self-motivated, and comfortable working independently in a growing small-business environment.

Key Responsibilities

• Manage appointment scheduling, confirmations, cancellations, and customer follow-ups.
• Respond professionally to customer inquiries through phone, email, text, and social media.
• Prepare customer estimates, invoices, receipts, and service documentation.
• Maintain accurate customer records, appointment histories, and business files.
• Assist with QuickBooks, payment tracking, and basic bookkeeping tasks.
• Coordinate fleet maintenance appointments and commercial client accounts.
• Monitor business emails and assist with administrative correspondence.
• Support marketing initiatives, promotions, and social media communications.
• Track inventory, office supplies, and operational needs.
• Assist the owner with organizing business schedules, priorities, and ongoing projects.
• Identify opportunities to improve administrative processes and operational efficiency.
• Maintain confidentiality regarding customer information and company records.

Qualifications Required:

• Strong organizational and time-management skills.
• Excellent written and verbal communication.
• Proficiency with computers, email, and basic office software.
• Ability to multitask and prioritize responsibilities.
• Professional attitude and strong attention to detail.
• Ability to work independently with minimal supervision.
• Dependable, punctual, and customer-service oriented.

Preferred:

• Previous administrative, office management, or customer service experience.
• Experience using QuickBooks or similar accounting software.
• Familiarity with appointment scheduling and customer management systems.
• Experience with social media management or digital marketing.
• Automotive industry experience is a plus but not required.

Work Schedule & Environment

• Part-time position with scheduling based on business needs.
• Hybrid arrangement combining remote administrative work with occasional in-person responsibilities.
